CLUB REGISTRATIONS

WHEN DO CLUB REGISTRATIONS START?

Club registrations are always taken on a termly basis, unless indicated otherwise. 

First term club registrations start mid-August, so that all after-school activities can start on the first day of the school year.

Second and third term registrations are taken about 3-4 weeks before the Christmas and Easter holidays, so that all after-school activities can start on the first day of the following term.

 

HOW LONG ARE CLUB REGISTRATIONS OPEN?

The club registration period lasts approximately 9 days.

 

HOW CAN I SIGN MY CHILDREN UP FOR CLUBS?

You will be able to sign your children up for clubs via the Haut-Lac Parent Portal, as soon the registration period opens. You will receive the links to the clubs programme and registration procedure in the Weekly News.

 

HOW MANY BACK-UP OPTIONS SHOULD I SELECT PER DAY WHEN REGISTERING MY CHILD?

We recommend selecting a preferred option plus 1 or 2 back-up options per day, depending on the choice available, to be sure your child is allocated an after-school activity.  

Infant & Primary parents are also advised to select at least one paying club as back-up on days when they really need their children to have an activity after school.

 

WILL MY CHILD LOSE OUT IF I REGISTER THEM FOR CLUBS AT THE LAST MINUTE?

No. Your child has the same chances of getting their preferred clubs regardless of when you register them.

 

CAN SECONDARY STUDENTS WHO FINISH CLASS AT 15:30 REGISTER FOR CLUBS STARTING AT 16:40?

Yes, but they must be enrolled in another club or study from 15:40 to 16:40, or go home in between.

 

CLUB ALLOCATIONS

HOW ARE CLUBS ALLOCATED?DOES THE EMAIL CONFIRMING MY CHILD'S CLUB CHOICES MEAN MY CHILD HAS A CONFIRMED PLACE IN THESE CLUBS?

The Haut-Lac Parent Portal enables us to randomly and fairly allocate clubs to students, as well as to manage and coordinate registrations.

If there are more applicants than spots available for a given club, the system will allocate the spots according to its algorithm rather than on a first-come, first-served basis.

Parents will receive a confirmation email once the algorithm has determined the activities their child(ren) can participate in, and secured their spots.

 

IF I ONLY SELECT ONE CLUB PER DAY FOR MY CHILD, WILL THEY AUTOMATICALLY GET THEM?

Unfortunately not. If you happen to choose the most popular clubs for your child’s age, your child may not be one of the ones chosen at random by the system to participate in them. We therefore recommend you make several choices.

As for Infant section children, they will only be allocated one sports club (football or multisport) depending on enrolment numbers.

 

CAN I MAKE CHANGES TO MY CHILD’S CLUBS AFTER RECEIVING THEIR FINAL CLUB ALLOCATIONS?

Yes. Infant and Primary parents should email their requests to paola.primavesi@haut-lac.ch and Secondary parents to stephen.mcshane@haut-lac.ch. Paola and Stevie will then make changes, where possible.

 

The Haut-Lac Parent Portal

WHAT IS THE HAUT-LAC PARENT PORTAL, WHERE DO I FIND IT AND WHO TO CONTACT IN CASE OF TECHNICAL ISSUES?

The Haut-Lac Parent Portal is a platform which allows you to register your children for clubs,  schedule transport for both school and clubs, register for school meals, manage absences, and update you and your child's personal data.

As an all-in-one solution, the Haut-Lac Parent Portal drastically reduces the number of log-ins required to access our various student services.

CLUBS

WHAT ARE CLUB PARTICIPATION RULES?

  • Clubs are not an extension of lessons, but rather activities enabling the children to wind down and/or learn new skills in a relaxed atmosphere.
  • The club leader/teacher must be respected.
  • Children enrolled in clubs are expected to attend regularly each week for their own benefit and that of the group.
  • All absences must be reported by filling out the absence form.

In the event of poor attendance or behaviour, a letter will be sent to the parents and the school reserves the right to exclude the student from the club.

 

HOW MANY FREE CLUBS RUN BY SCHOOL STAFF CAN MY CHILD ATTEND?

E2-P5 students may take part in a maximum of two free clubs per week depending on availability, and as may paying clubs run by external professionals as they wish.

Secondary students may take part in as many free clubs as they wish, depending on availabilities.

 

ARE THERE CLUBS FOR SECONDARY STUDENTS WHO FINISH CLASS AT 16:20?

Yes, some clubs run from 16:40 to 17:30.

 

ARE SECONDARY STUDENTS ALLOWED TO WAIT IN SPORTS HALL VIEWING AREA OR IN THE HALLWAYS FOR A CLUB STARTING AT 16:40?

No, students must be under adult supervision at all times for safety reasons.

 

HOW DO CLUBS RUN BY EXTERNAL PROFESSIONALS WORK?

We call upon several external professionals to run clubs on campus to increase our club offer and make it logistically easier for parents.

You can sign your children up for these paying clubs via the Haut-Lac Parent Portal as with the free clubs. The prices are set by the external professional and consider all occasional student absences due to illness, holidays, etc. They external professional will also bill you directly, and reimburse you should they have to cancel a session.

 

ARE THE MUSICAL INSTRUMENT LESSONS (piano, guitar, drums) CONSIDERED CLUBS?

No, these are 30-minute private lessons run at other times. For more information, please contact our music teacher by email to timothee.bonomo@haut-lac.ch.

 

 

AFTER-SCHOOL SUPERVISION

WHAT ARE TEDDY CLUB, BIG BEAR CLUB & STUDY?

These three clubs run from 15:30 to 16:40 like all the other clubs. They are billed on a termly basis (rates vary depending on term length) or by session for occasional participation (CHF15).

  • Teddy club is the only club open to E1 children. Participants play outside before eating a snack and taking part in activities chosen according to the most popular E2-E3 clubs.
  • Big Bear club is the Teddy Club equivalent for E2 & E3 students.
  • The Teddy & Big Bear Clubs are day-care options offered primarily to students with two full-time working parents.
  • Study is an hour during which Primary students do their homework in the presence of and with the help of an adult.

 

WHAT IS AFTER-SCHOOL SUPERVISION?

After-school supervision is designed primarily for infant and primary students whose parents both work full time. It ends no later than 18:00 and is billed at CHF15 per session attended.

Unlike club registrations, which are taken every term, registration for the full after-school supervision package (16:40-18:00) and the Wednesday afternoon supervision package is annual, unless otherwise indicated.

HOW CAN I SIGN UP FOR THE FULL SUPERVISION PACKAGES? 

Haut-Lac provides a full supervision package.

To sign up for this package, go to the Haut-Lac Parent Portal, click on Daybook, and select the supervision package form.  

 

WHAT OPTIONS CAN I USE IF MY CHILD NEEDS TO STAY, OCCASIONALLY OR IN AN EMERGENCY, AT SCHOOL AFTER LESSONS?

Teddy Club (E1), Big Bear Club (E2-E3) or Study (P1-P5) from 15:40-16:40 and After-School Supervision (E1-P5) from 16:40-18:00, depending on availability.

If you wish to take advantage of any of these services, please contact paola.primavesi@haut-lac.ch as far in advance as possible, or call 021 555 50 00 as soon as possible if you have a last-minute childcare need.

NB: In the case of occasional use, families in which both parents work will be given priority.

 

 

CANCELLATIONS AND MODIFICATIONS

CAN A CLUB BE CANCELLED?

Clubs may occasionally be cancelled if the teachers in charge are way at competitions or on outings. Should this be the case, we will let you know in advance.

If a teacher is absent at the last minute and a replacement cannot be found, we will ask you to pick up your child (E1-P5) or release them at 15:30. Children who aren't authorised to leave school alone and can't be picked up will be sent to study, Big Bear club or Teddy club instead.

 

WHAT IF I NEED TO CHANGE MY CHILD’S AFTER-SCHOOL CARE OR CLUB ARRANGEMENTS?

If your child is unable to participate in a club, please make note of the absence through the Parent Portal. If there are any issues or questions, please e-mail Paola (paola.primavesi@haut-lac.ch).

For any other changes (including if someone else is picking up your infant or primary child(ren)please complete the “Pick-up Arrangement” form on the Parent Portal. 

 

WHAT IF I WILL BE LATE TO PICK UP MY CHILD(REN)?

As soon as you realise you are going to be late, please call the school secretary on 021 555 50 00. If your child is not picked up before 16:50, they will taken to after-school supervision. You will then have to go to the door at the bottom of the ramp on the east side (opposite the football fields) to pick up your child.

If your child is in supervision and you are going to arrive later than expected, please call 021 555 50 22 to inform the supervision staff.

Please note that supervision ends and school closes at 18:00, so you will need to make arrangements to pick up your child on time. Penalties for late pick-up of 10 minutes or more will be applied as follows:

  • First time = you will receive a reminder
  • Second time = you will receive a warning
  • Third time = you will be charged a CHF50 fee and be warned about not being able to use the service if you are late again
  • Fourth time = you will be charged a CHF50 and you will no longer be able to use the service (at the discretion of the Infant and Primary Head)

If you sign up for supervision, we will ask you for your "Plan B" in case you are late (i.e. contact details of a local friend or someone you can call on)
